Is
your desk cluttered with documents that you hesitate to archive, simply
because you may need to access them at any moment? Instead of simply
storing reams of paper in filing cabinets, why not consider 'digitising'
these documents, so that they may be accessed by your PC?
| Digitising
/ Scanning |
 |
|
This
is the process where paper documents (including photographs, if required)
are 'scanned' and converted into files recognisable to your computer.
For instance, a photograph can be scanned to produce a high-resolution,
full-colour image, suitable for use on an Internet website, or for
insertion into a document.
With
text, two options are available:
- Scanned
as an Image
A direct scan of the text can be made, producing an image file.
This is similar to scanning a photograph, although the resulting
file will be in monochrome. ablewhitesolutions
can supply scans in most popular image formats, including *.GIF,
*.JPG, and *.BMP. For a complete list of supported file types, please
refer to our file conversion page.
However,
images created in this way tend to be quite large. Also note that
as this is an image, text cannot be selected, cut, copied or pasted
in the usual way.
-
Scanned
as a Document
After scanning of the original document, the resulting image file
is processed using a technique known as 'OCR' (Optical Character
Recognition). This searches the image for recognised text, producing
a corresponding text document - just as if the text had been typed
manually into your favourite word-processing package (e.g. Microsoft
Word).
The
positive aspects of this method are that the resulting file sizes
are relatively small, and the text content can be selected, cut,
copied and pasted as with manually-created documents.

The
resulting scanned image or document can be supplied in a number of
popular file formats, which may then be easily utilised using most
PC paint, desktop publishing (DTP) and word-processing applications
(e.g. Microsoft Word).

Documents
for scanning can either be supplied to us 'as-is' or pre-scanned on
magnetic or optical media (typically to convert images into editable
text).
Original
documents received will undergo a two-stage process of scanning, followed
by optical character recognition (OCR, if required) to complete the
digitising procedure.
Files
supplied on magnetic or optical media (see below for supported formats)
will undergo OCR processing to provide editable files (e.g. Microsoft
Word documents).
Pre-scanned
documents can be supplied on any of the following media formats:
- As
an e-mail attachment
- On
IBM-compatible floppy disk (720K / 1.44Mb)
- On
CD-ROM / DVD-ROM
